Our practice

Meetings hosted or attended by acceligence may be recorded and transcribed. This includes audio, video, shared screens, and presented content, and in-meeting chat, and may include transcripts, captions, and AI-generated summaries or notes produced by the meeting platform.

We record for practical reasons: to capture accurate notes, preserve decisions and commitments, support quality and consistency in our client work, and reduce the burden of manual note-taking so we can stay present in the conversation.

How you’ll know

We provide notice before and during recorded meetings. Depending on the platform, you may see one or more of the following:

  • A notice in your calendar invitation or meeting confirmation
  • An on-screen banner or pop-up when you join a meeting that is being recorded or transcribed
  • A consent prompt asking you to agree before your audio, video, or shared content is included
  • A verbal confirmation from your acceligence contact at the start of the session
  • A visual indicator that the meeting is being recorded and/or transcribed

The exact mechanics vary by platform (Zoom, Microsoft Teams, Google Meet, and others), but the principle is the same across all of them: you will know when a session is being recorded, and joining or participating after receiving that notice indicates your consent.

How to opt out

You can decline to be recorded at any time – before a meeting or while it is underway. Simply let your acceligence contact or the meeting organizer know, and we will disable recording and transcription for the session, and we will document the discussion through traditional note-taking instead.

If a recording has already begun when you raise a concern, we will stop it, and on request, we will delete the portion already captured.

How recordings are handled

Recordings and transcripts are stored on the secure platforms we use to run our business, with access limited to acceligence personnel involved in the relevant engagement. We retain them only as long as they serve a business purpose or as our client agreements and legal obligations require, after which they are deleted.

Recordings are processed by the meeting platform providers that host them, acting as service providers on our behalf. We do not sell recordings or transcripts, and we do not share them outside acceligence except as required by our agreements with clients or by law.

Where a client’s own recording, confidentiality, or data-handling requirements are stricter than this policy, the client agreement governs.
